Medical Secretary

Salary:  Circa £9.50 per hour plus NHS pension dependent on experience
Job type: Permanent, 37 hours per week or 2 x part time (20 hours each)

Dr Bennett & Partners, operating as The Fakenham Medical Practice, is an eleven doctor dispensing practice providing care to around 15,000 patients in and around Fakenham in North Norfolk. We are looking for a Medical Secretary to provide secretarial/administrative services to clinicians within the Practice. This will require word processing and audio typing skills, alongside more general administrative skills including telephone work, arranging meetings, taking minutes, producing spreadsheets and reports, record keeping and filing. 

We work from modern, purpose-built premises. The partners and staff have a shared belief in the delivery of high quality, traditional personal family healthcare. Patients’ interests are kept very much to the fore and there is a strong commitment to develop patient services. To promote a multi-disciplinary team approach, we share our premises with other providers including a pharmacy, adult social services and local community services e.g. physiotherapy and midwifery.

The successful applicant will join a busy secretarial team, be actively involved in the continuous improvement of our secretarial services and communcation with patients, doctors, nurses and other care providers. Preference will be given to applicants who can demonstrate their ability to provide high quality secretarial services and have a sound understanding of medical terminology.  They will ideally have experience of using SystmOne practice management software; although full training will be provided.

Apprentice Medical Administrator

Salary: £111 per week plus NHS pension dependent on experience
Job type: 12 Months Fixed Term, 30 hours per week with potential full time employment on completion of apprenticeship

Dr Bennett & Partners, operating as The Fakenham Medical Practice, is an eleven doctor dispensing practice providing care to around 15,000 patients in and around Fakenham in North Norfolk.  We are looking for an apprentice medical administrator to join the team.  We need an individual who is motivated, can demonstrate initiative and attention to detail and who is prepared to listen and learn.  In return, we can offer you comprehensive training, a pleasant working environment and the opportunity to be part of a team that values excellent patient service.

Duties may be varied from time to time under the direction of the Senior Secretaries/Assistant Practice Manager, daily duties will include:

1. To provide a high quality secretarial/administrative service to clinicians and managers in line with legal and practice guidelines that supports the smooth running of FMP, particularly:

  • Audio/copy type referral letters, medical reports, referral forms and other patient communications/correspondence.
  • Read coding, linking/scanning patient correspondence onto the relevant patient record in a timely and accurate manner.
  • Liaise with patients, secondary care, social services, community providers and health professionals to solve problems and answer queries.
  • Book patient referrals/appointments using E-referrals on-line software.
  • Assist the management team with data collection, correspondence and filing.
  • Create and record data on spreadsheets in a timely and accurate fashion e.g. referral data, staff rotas & annual leave, patient data.
  • Answer the telephone, take messages, answer queries and pass on information. 

2. To use the FMP clinical system (SystmOne) to process, record and search for information in an accurate and timely fashion in accordance with FMP policies and procedures.

3. To communicate politely and effectively with patients, carers, colleagues and other contacts, recognising people’s needs for alternative methods of communication e.g. translation services and responding accordingly. In this way, through good communication and working collaboratively with colleagues and other agencies to support the provision of a seamless co-ordinated multidisciplinary service.

4. At all times, to maintain the highest standards of behaviour, to comply with and follow practice and CQC policies, protocols and procedures, including information governance, confidentiality, health and safety, infection control, equality and diversity and to report any breach or suspected breach immediately.

5. To undertake regular training and development, to keep personal development plan up to date and to attend staff meetings.

Apprentice Receptionist

  • Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice
  • Processing requests for appointments, visits and telephone consultations and ensuring callers are directed to the appropriate healthcare professional
  • Deal with all general enquiries, explain procedures and make new and follow-up appointments.  Also cancel appointments when necessary
  • Taking messages and passing on information
  • Filing and retrieving paperwork
  • Cancel appointments and inform patients if GP session has been amended
  • Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures
  • Initiating contact with and responding to requests from patients, other team members and associated healthcare agencies and providers
  • Clearing and re-stock consulting rooms as required
  • Keeping the reception area, notice-boards and leaflet dispensers tidy and free from obstructions and clutter
  • Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed
  • Receive and make telephone calls as required.  Divert calls and record messages, ensuring accuracy of detail and prompt appropriate delivery
  • Record requests for home visits in the appropriate manner, ensuring careful recording of all relevant details and where necessary refer to Duty Doctor
  • Prepare lists for all surgeries and clinics held, ensuring completion of all associated paperwork
  • Advise patients of relevant charges for non-NHS services, accept payment and issue receipts for same
  • Enter patient information on to the computer as required
  • Book hospital transport as required
  • Opening/locking up of internal doors and windows when on rota to do so
  • Retrieve and re-file electronic or paper records as required
  • Ensure correspondence, reports, results etc are filed promptly and in the correct records, ensuring that all recent correspondence is available when patients are seen
  • Ensure records are kept in good repair with all necessary information on the outside cover clearly visible
  • Check and sign for deliveries made to the Practice.  Inform other agencies such as NCH&C or NCC if deliveries are for them and ask them to come and collect
  • Undertake any other additional duties appropriate to the post.
